Job Description:

This position serves as the confidential assistant to the office of Human Resource Services by administratively organizing, coordinating, and communicating the administrative processes and the confidential employee relations activities processed by the office.

 


Responsibilities

  • The HR Assistant handles the support of day to day activities of the HR office. Serve as receptionist and appointment calendar manager. The HR Assistant will learn about processes, policies and procedures and SUNY HR to be able to answer routine questions. The assistant provides support to the HR team in areas of recruitment, payroll, work shop planning and facilitation. Work in support with paperwork processing for renewals, continuing/permanent appointments, position approvals, recruitment and appointments. Performs Time & Attendance training for the professional staff. Assists in the adjustment of TAS records and fixes to incorrect electronic reports; sets up interview for classified service applicants; prepares appointment letters and other appointment materials for mailing to the selected applicant; prepares letters to notify non-selected candidates that the position has been filled; prepare appropriate file folders within which to begin the appointee’s official personnel file. Ensure that recruitment, appointment, separations and leaves are processed in accordance with State, SUNY, and SUNY Maritime Policies and Procedures; ensure that student appointments are done on a timely basis; that employees have properly completed necessary I-9 and all hire packages; contracts are issued timely. Recognize and convey essential information to employees and supervisors through e-mail etc.
  • Take notes as necessary at meetings, including Labor/Management meetings; prepare notes for the record and for dissemination as necessary; prepare management agenda for Labor/Management meetings, prepare interrogation questions for the Director for the interrogation of employees who may become targets for discipline; prepare notices of discipline for the Director; prepare disciplinary settlement agreements to be proposed by the Director; prepare Step 1 contract grievance determinations for the Director; collect, organize and make copies (SUNY representative, Arbitrator, Collective Negotiating Agent, Management) of documents to be presented at arbitrations as evidence to support disciplinary actions; and preparation and appropriate dissemination of final SUNY Maritime College policies and procedures relating to HR/AAO (e.g. call-out policy, sick leave abuse, etc.)
  • Answer routine questions; provide guidance; provide forms; make referrals to HR professionals or others as appropriate and necessary; collect and verify documents proving identity and employability of all appointees (regular and student employees) being added to the payroll (I-9); process work authorizations for student assistant and college work study payrolls including entering required information into the HR and payroll system; maintain personnel files in accordance with applicable collective negotiating unit agreements and SUNY and State retention and disposition guidelines; monitor probationary periods and annual evaluations reminding supervisors when actions are due, maintaining computerized evaluation records and ensuring that unsatisfactory ratings are reported to payroll; maintain supply and equipment inventories and process purchase orders for such purchases, for contract services, and for reimbursement for staff travel and expenses.

 

Minimum Requirements

  • Bachelor’s Degree.
  • 2-3 years of experience providing administrative support.
  • Prior HR experience
  • Strong organizational and prioritizing skills including attention to detail.
  • Must be highly proficient in Microsoft Word, Excel, and Power Point.
  • Proven ability to establish ownership and drive and seeing initiatives through to completion by deadline stipulated.
  • Must maintain extreme confidentiality of employee records
  • Great communication and interpersonal skills; including demonstrated ability to build consensus and establish trust; outgoing personality
  • Strong writing, editing, oral communication and analytical skills
  • Superior customer service skills
  • Ability to work under pressure
  • Ability to multi-task in fast paced environment

Preferred Requirements

  • Bachelor’s Degree in HR management or related discipline required
  • Minimum 2-4 years of progressive experience in office management
  • Prior HR experience in a public sector.
  • Knowledge of Human Resource Information Systems
  • Prior experience within SUNY, other academic environment, or New York State agency.

Additional Information:

 

Classification/Salary Range: This is a full-time calendar year appointment. Management/Confidential unclassified position which serves at the pleasure of the appointing authority. The anticipated salary range for the position is $42,000 to $50,000 annually with an outstanding benefits package (For additional information, please see the Management/Confidential Benefits Summary).
