GENERAL PURPOSE OF JOB:

Responsible for ensuring the smooth and efficient operation of the Louisville Branch office by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES: The duties below reflect the minimum requirements for this position.

• Answers multi-line telephone system, takes accurate messages, and screens and directs telephone calls in a professional manner.
• Interacts with employees and clients in a professional manner.
• Schedules employees and ensures sufficient employees for events by using the Protatech and/or other company authorized computer systems.
• Enters necessary changes on computer to update information prior to printing event schedules.
• Advises branch manager of scheduling issues in a timely manner in writing.
• Maintains branch office files in an organized and accessible manner to include updating information, purging files on a regular basis per company retention policies and creating new filing systems as needed.
• Inventories and orders office supplies as needed. • Operates standard office equipment efficiently.
• Arranges for office equipment repairs as needed.
• Prepares correspondence and office memos in an efficient manner.
• Advises branch manager of office issues in a timely manner.
• Responds to inquiries regarding company policies, procedures, and programs.
• Maintains sound employee relations through consistent personal contact.
• May travel to the various job sites to provide supervision and field representation.
• Performs other related duties as assigned

SUPERVISORY RESPONSIBILITIES:

Directly supervises employees in the office and at client events as directed by branch management. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include scheduling, interviewing, hiring, and training employees; planning, assigning, and directing work; addressing complaints and resolving problems.

MATH ABILITY:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY:

Job Title: Event Manager

GENERAL PURPOSE OF JOB:

Responsible for assisting the branch manager in the planning and developing of strategies for all aspects of crowd management service and oversight of operations of the local branch office at client events. Develops new clients and maintains current client relations for the company. Ensures branch compliance with all local licensing and employment regulations. Works with branch management to administer policies, programs and services, including legal compliance, employee benefits, employee relations, employment practices, and procedures, by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES: The duties below reflect the minimum requirements for this position.

• Manages, supervises, and operates client events at the direction of the branch manager without direct supervision.
• Reviews, understands, and implements local licensing requirements.
• Reviews, understands, and implements employment regulations.
• Reviews general business climate and client needs, and adjust staffing and planning as needed.
• Assists branch manager in the preparation of business forecasts, strategies and plans to meet company objectives and client service requests.
• Acts as representative for public relations activities with clients, partners and potential clients.
• Develops new client and revenue sources for the company, consistent with the company’s objectives.
• Ensures timely and accurate invoicing of clients.
• Ensures timely and accurate processing of employee payroll.
• Ensures proper employee documentation is completed as required by local/state/federal regulations.
• Maintains ongoing contact with clients regarding service. Interfaces directly with clients to resolve problems.
• Advises supervisors on disciplinary and termination procedures.

Job Title: Event Staff for KY Derby

Description:
Reports To: Branch Manager, Event Manager and Event Staff Supervisor GENERAL PURPOSE OF JOB:
Unlicensed/licensed Event Staff provide general support for events including but not limited to: ticket taking, ushering, guest services, bag searches, and access control. Their role requires good judgment, flexibility, strong attention to management directives and strong observation skills and vigilance. Assist with all of our clients’ staffing needs at Churchill Downs for the Kentucky Derby and all Live Racing events through-out the entire Spring Meet.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
(The duties below are the minimum requirements for this position.)
• Follow all operating procedures and policies
• Follow directives of Event Staff Supervisor and/or Event Manager for each event assigned
• Effective interpersonal skills in order to deal with guests/public
• Serves as a greeter for each event assigned
• Have good math skills in order to provide ticket counts, summary reports, and other inventory reporting of guest admissions
• Professionally assist guests with determining seat location and escort guests to seat locations if required
• Familiarity with the facilities at each venue where they are posted and the information needed to assist guests
• Serve where needed or as support to other tasked team members at each event
• Coordinate with facility staff as appropriate
• Communicate with event staff and supervisor(s)
• Observe and report matters of concern to the Field Supervisor and complete incident report forms on the same
• Notify police, fire department or emergency medical services of problems if requested or otherwise warranted
• Utilize two-way radio including the safeguarding of such radios or other issued equipment
• Provide break relief when scheduled to other event staff including briefing such Event Staff upon their return

OTHER RESPONSIBILITIES:
• May use event vehicles or golf carts when provided for events subject to completion of company training requirements • Walking significant distances as may be needed to arrive at assigned post, walking up and down stairs, and standing for long periods
• Check that all staff are wearing appropriate uniforms
• Reliable transportation
