Finance Your Study Abroad Journey 

Finances are an important part of planning your study abroad experience. Many students can use their existing financial aid toward approved programs, depending on FAFSA and program details. Scholarships and grants may also be available through providers or other sources. The Education Abroad Office works with Financial Aid to help you understand your options and make studying abroad affordable. With proper planning, a global experience can fit your budget.

Financial aid for study abroad may work differently than for on-campus programs, so it’s important to speak with the Financial Aid Office as early as possible.

Once accepted to a Study Abroad program, there are several study abroad scholarships for which you can apply! Check your study abroad provider's website for any scholarships offered to program participants. Several scholarships you already receive here at Campbellsville University may also be applicable to Study Abroad.

Each partnership program has its unique costs, which can vary based on location, duration, and included services. For Faculty Leading a Study Abroad Program

Faculty-led study abroad programs enrich student learning and global engagement. To ensure safety, quality, and compliance, all programs must partner with an approved provider or university partner. These providers offer vital support, including logistics, in-country assistance, and emergency response.

Planning should begin at least 12 months in advance and include proposal submission, academic review, and coordination with the Education Abroad Office. Non-academic programs follow a similar approval process and must meet university travel guidelines. To ensure adequate logistical support, safety standards, and university compliance, faculty must work with an approved provider, university partner, or third-party organization.

Creating a faculty-led program (2–10 weeks or semester-long) is a detailed process that requires early planning and collaboration with your department and the Education Abroad office. You will need to work with approved providers for logistical support.

Key Steps:

Preliminary:

  • Submit your proposal 12 months in advance to allow for approvals, development, recruitment, and preparation.
  • Contact Dr. Johana Perez Weisenberger at educationabroad@campbellsville.edu for resources and provider lists.

Step 1: Academic Review

  • Syllabi must show that 50%+ of contact hours occur abroad (lectures, activities, and visits related to course content).
  • Typical ratio: 1 credit hour/week = 15 contact hours.

Step 2: Proposal Submission

  • Education Abroad staff assist in the process.
  • Deadlines:
  • Feb 1 (Spring semester, Winter Break, May)
  • May 1 (Summer, Fall, August programs)
  • Oct 1 (Fall semester)

Step 3: Proposal Endorsement

  • The Education Abroad office submits your proposal to the committee.
  • Once endorsed, an advisor will assist throughout program development, implementation, and post-program activities, including emergency support.

Step 1: Travel Risk Vetting

  • Verify that your destination is not on the U.S. government Travel Advisory list (Travel Advisories).
  • Additional approvals are required for high-risk destinations.

Step 2: Support and Approval

  • Obtain approval from your department/college administrator.
  • Contact Education Abroad early to discuss steps and protocols.

Step 3: Proposal Submission

  • Develop the program and budget with your business office.
  • Submit the Non-Academic Group Proposal, including itinerary, budget, provider info, and other details.
  • Do not make payments or reservations before approval.

Step 4: Charging Student Fees

  • If your department collects fees from students, pre-authorization through the Finance office is required before proposal submission.
  • Contact Education Abroad early to start this process.

Step 5: Endorsement & Registration

  • After approval, Education Abroad will guide you through registration and preparation, including training for students and program leaders.
